Part Time Remote Executive Assistant Position
We are looking for a detail oriented, enthusiastic individual who shares our values, and is interested in the following:
Position Overview:
Head First Health is seeking a part time executive assistant. The Executive Assistant will work 15-25 hours per week, Monday- Friday, leading the front and back end of our business, including, client intake calls (appropriately referring clients to the best fitting therapist), scheduling new clients, insurance benefit checks, billing insurance, and executive support.
Duties/Responsibilities:
· Check insurance benefits for new and established clients.
· Bill clients daily, using our EHR, Simple Practice
· Sends and rectifies insurance claims.
· Manage intake calls (respond to phone and email inquiries, schedule intake appointments with appropriate therapist, answer practice -related questions).
· Manage intake forms and ensure EHR files are accurate.
· Schedules new clients
· Coordinate with clinicians on filling their schedules.
· Provide metrics to Jenna Quinn Lancor on intake stats.
· Ability to identify areas where we need improvement in client intake process and initiate the improvement measures.
· Regular and reliable attendance and timely arrival to work is required.
· Attend mandatory staff meetings and training as directed by Head First Health.
· Stay highly organized.
· High attention to detail and ability to prioritize various projects independently.
· Passion for working with others (being collaborative) and helping our team members grow and learn.
· Be a problem solver and think ahead to ensure any challenges don’t greatly impact progress or outcomes for clients.
· Ability to set goals and develop achievable timelines to hit them.
· Other duties as may be assigned.
Qualifications and Skills:
· Align with Head First Health’s mission, vision, and values.
· Knowledge of Head First Health client experience goals and how to achieve client satisfaction.
· Be able to lead the billing duties of clients including checking benefits and billing insurance.
· Be able to lead and manage client intake and scheduling.
· Must be punctual in reporting to work.
· Be organized and detail oriented.
· Be a team player.
· Be able to work independently on tasks assigned.
· Must take initiative and create new more efficient systems where necessary.
· Have strong written and verbal communication skills and strong interpersonal skills.
· Willingness to attend weekly trainings. Interest in self-learning and continuing education

Compensation:
This is a part-time, W-2, employee, position at $17 an hour. As Head First Health grows, it can lead to increased hours with increased pay.
